OTA cancellations, no-shows and hotel commission disputes: what to check.
Published October 20, 2026 · Zamaira Hospitality
A hotel cancels a reservation in its property management system (PMS), but the online travel agency (OTA) still shows an invoice charge. Does that mean the hotel has been overcharged? Not necessarily. The OTA may have a different recorded reservation status, the rate could be nonrefundable, a no-show penalty may be commissionable, or a required change may not have reached the booking channel.
Instead of assuming every cancelled room generates a credit, owners should trace each booking's actual status, the guest's agreed policy, any collected penalty, platform reporting history and the applicable invoice entry. The details differ by Expedia, Booking.com, property agreement and booking type.
First distinguish cancellation, no-show and shortened stay
A cancellation means the guest's reservation was cancelled under its applicable policy. A no-show means the guest did not arrive as expected. A shortened or modified stay means some booked nights, rooms or conditions changed while some reservation value may remain. Those situations should not be assigned the same financial result simply because the front desk closed the folio.
For multi-room reservations, one room may be cancelled or a no-show while the other rooms remain occupied. Keep the original OTA booking number, the specific room or room-night record and the modification history together. A single reservation-level label may hide those differences.
How Booking.com treats reporting and waived no-show fees
Booking.com's official connectivity Reporting API documentation explains a distinction between reporting a guest no-show and deciding whether to waive the no-show fee. Its technical workflow describes circumstances in which waived fees affect commission. It also notes that reporting a no-show does not automatically reopen affected inventory for sale. These are useful operational concepts, but developer API instructions are meant for authorized connectivity partners—not proof that every hotel's extranet has the identical screen or deadline.
The appropriate no-show or cancellation penalty depends on the policy attached to the actual reservation. Booking.com's policy documentation distinguishes a penalty matching the cancellation fee from a penalty covering the total reservation price, depending on the setup. Confirm the property's chosen rules, the guest-facing booking terms and whether the hotel actually charged or waived the permitted amount before asking for a commission adjustment.
For current technical references, see Booking.com's reservation reporting documentation and cancellation and no-show policy definitions. The property's latest contractual and extranet guidance controls which actions are available to its own staff.
What about Expedia Group cancellations?
Expedia Group partners manage reservation activity and access help resources through Partner Central or their authorized connectivity provider. Expedia states that its lodging compensation arrangements differ by market and contract; this makes a single universal cancellation commission formula inappropriate.
An Expedia invoice review should match the OTA confirmation, final reservation status, relevant booking rules, any permitted cancellation penalty, channel notices and invoice calculations. Do not assume a modification made only in the hotel PMS was transmitted to Partner Central or automatically accepted by the channel. If a documented difference remains, use the property's current approved support or reconciliation procedure.
See Expedia Group's official hotel partner overviewfor Partner Central functionality and guidance on variable compensation arrangements. Never cancel an OTA reservation just to move a guest to an off-platform booking to avoid commissions; Expedia's published offline booking policyrestricts that practice.
An example of a suspected commission discrepancy
Suppose a hotel PMS shows a cancelled room with zero room revenue, while an OTA invoice contains a $24 commission entry. This hypothetical example does not establish that $24 is refundable. The owner first needs to confirm the booking's cancellation policy, whether a no-show or late cancellation fee was collectible, whether that fee was actually waived, what the OTA recorded and whether an authorized correction was requested through the appropriate platform procedure.
A valid credit might appear on a subsequent invoice rather than as a bank payment. Classify it as an applied invoice credit when that is what the supporting record shows. Do not add the same credit to cash recovered and invoice savings, or count the suspected amount as achieved recovery before the channel has confirmed an adjustment.
The 11-point hotel OTA cancellation audit checklist
- Choose the hotel, OTA account and exact invoice or stay period being examined.
- Export authorized booking confirmations with reservation and room identifiers.
- Match arrival, departure, booked rate plan and applicable cancellation policy.
- Separate full cancellations, partial cancellations, no-shows and shortened stays.
- Compare the final PMS status with the OTA's recorded status and change history.
- Verify whether the guest owed a permitted penalty and whether the hotel charged or waived it.
- Check channel notification timestamps and the property's current reporting or dispute requirements.
- Match relevant invoice lines, tax treatment and contractual commission basis.
- Exclude already corrected items, duplicate entries and unsupported or ineligible cases.
- Obtain owner approval before submitting an evidence-backed claim through the authorized channel.
- Track the OTA's decision and verify the actual applied credit or received funds.
A useful exception log should include the booking ID, affected room or dates, original and final status, suspected difference, evidence source, owner approval, submission reference and final settlement. Store guest and payment details only through secure authorized systems—not an unsecured public inquiry.
After a no-show: do not forget sellable availability
A reservation cancelled after nonarrival may make future room nights available again. That does not guarantee the PMS, channel manager and OTA all update themselves. Verify availability separately to avoid leaving legitimate inventory closed or accidentally overselling a room category. The proper workflow depends on the hotel's systems and permissions.
