Hotel OTA room-type mapping mistakes: an owner's audit checklist.

Published October 20, 2026 · Zamaira Hospitality

A hotel can have correct room inventory in its property management system (PMS) but advertise the wrong room type or rate plan on an online travel agency (OTA). When category IDs, amenities, policies or inventory messages do not match, guests can book a product the hotel did not intend to sell. A room-mapping audit traces the same sellable room and rate from the hotel's source records to each booking channel.

Room categories and rate plans are different objects. Booking.com's official connectivity documentation defines a room type as a category of physical rooms and a rate plan as a category of prices and conditions. A sellable product combines a room type with a rate plan and its applicable conditions. This distinction matters when an OTA advertises the correct room name but the wrong cancellation, meal or pricing conditions.

1. Start with your hotel's actual room inventory

Build a master record of categories that guests can truly reserve: standard queen, double, accessible, kitchenette, suite or other actual products. For each type, capture the approved name, physical room count, maximum adult and child occupancy, bedding configuration, accessibility features, smoking policy and amenities.

Do not rely on an outdated marketing description. Confirm whether every room in a category really has the stated facilities, for example a mini-fridge, microwave or sofa bed. If only certain physical rooms have an amenity, avoid advertising it as included with every reservation in the category unless allocation is guaranteed. Record room photos separately and ensure they show a representative example of the bookable category.

2. Create a room-type and rate-plan mapping matrix

A single hotel room category may appear under a different label on Expedia, Booking.com and in a channel manager. Match stable category identifiers, not just names that look similar. Include rate-plan identifiers and whether updates are manual, channel-managed or derived from another plan.

These sample names are hypothetical and the identifiers are deliberately omitted. Use only your hotel's authorized room and rate codes when performing an actual review.

3. Check seven common mapping problems

Amenity promises attached to the wrong room

A standard room may accidentally display a microwave or kitchenette that belongs only to an upgraded type. Compare the public OTA amenity checklist with the approved physical-room inventory. If an item varies by room, clarify the promise rather than silently assigning a guest to a lower category on arrival.

Bedding, accessibility or maximum-occupancy mismatches

Confirm beds, rollaways, accessible configurations and guest limits. A rate that accommodates two adults cannot automatically be assumed valid for four guests. Accessibility claims deserve especially careful verification against the property's actual features.

Wrong cancellation or meal-plan mapping

A refundable rate and a non-refundable rate may share the same physical room. Booking.com describes a room-rate product as combining the room and rate with conditions such as cancellation and meal inclusions. Compare the checkout terms guests actually see, not only the rate label in an extranet.

Rate plans linked to the wrong parent or child

Some hotel rate plans are derived from others. Changing a parent-to-child relationship without understanding the provider's update model could produce an unintended sell price. Trace what controls the published rate before proposing a correction.

Inventory mismatches and oversell exposure

Confirm sellable inventory for a specific room type and stay date. Booking.com's connectivity reference distinguishes room-level rooms-to-sell values from individual room-rate pricing and restrictions. A mapping correction should not multiply physical rooms simply because the same category has several rate plans. Availability must be checked across the booking window, not just tonight.

Photos from another category

An OTA gallery may show a kitchenette, multiple beds or upgraded amenities for a standard-rate product. Record which approved images represent each category, and check the public listing after any upload or reordering. A photo that is correct for the hotel generally may still mislead a guest about one specific room they can reserve.

Different pricing or restrictions for the same stay

Compare equivalent products: dates, number of guests, refundable versus prepaid terms, taxes, included services and member-only eligibility. Not every public price difference is a room-mapping failure. Ourhotel rate-parity audit guide walks through these comparisons before an owner changes inventory or pricing.

4. A 12-step hotel OTA room-mapping audit

  1. Define the property, OTAs, room categories and stay-date sample being reviewed.
  2. Verify the hotel's source-of-truth inventory and representative room photos.
  3. Export authorized PMS and channel-manager room IDs and rate-plan IDs.
  4. Match those identifiers to each OTA's active room types and rate plans.
  5. Compare descriptions, bedding, amenities, accessibility and smoking claims.
  6. Check occupancy limits, children policies and extra-person conditions.
  7. Verify meal inclusions, cancellation, prepaid and non-refundable terms.
  8. Confirm parent/derived rate relationships and who can edit each setting.
  9. Compare availability and restrictions for an ordinary weekday and a busy date.
  10. Check the actual public booking path and checkout breakdown for each representative product.
  11. Log discrepancies with screenshots, affected IDs, severity, owner approval and the responsible system.
  12. Apply only authorized changes, then retest OTA pages, booking conditions and inventory.

Use separate classifications for an inaccurate guest promise, a live oversell risk, a pricing inconsistency and a harmless label difference. The correction may require a PMS administrator, channel-manager provider or OTA support team rather than a simple website copy update.

5. Who should make the correction?

First establish which system owns the field. Hotel front-desk staff should not casually modify a channel-manager mapping without the authorized administrator's oversight. A connection provider may be responsible for inventory and rate messages, while listing descriptions or photos may be handled in an OTA extranet. Expedia Group notes that hotels can manage inventory, rates and listing content through Partner Central and also work with connectivity providers. The permitted workflow depends on the property's actual setup.

After owner approval, record the original setting, proposed change, person responsible and verification date. Retest a public listing and a non-purchasing reservation flow; do not place a real booking merely as an SEO or mapping experiment. Preserve any history needed to explain past guest complaints.
