Hotel OTA distribution audit: an owner's practical scorecard.
Published October 20, 2026 · Zamaira Hospitality
A successful hotel distribution audit does not stop at checking whether the property appears on Expedia or Booking.com. It tests whether the right room is bookable by the right guest, for the correct dates and conditions, with accurate content and inventory. An attractive OTA listing can still produce problems if its availability, restrictions or room products differ from the hotel's authorized source.
Owners can use this scorecard to identify issues worth investigating before an approved correction. The guide addresses operational accuracy, not an assertion that any specific OTA ranking or sales improvement is guaranteed by completing the checklist.
Start with five distribution controls
1. Bookable room categories and amenities
Confirm that every visible OTA room category actually exists and represents what a guest can receive. Compare names, beds, accessibility, maximum occupancy, smoking policies, bathrooms, workspaces and other listed amenities with the hotel's verified room inventory. Photos should depict the correct category, not a different upgraded room.
Keep a list of category identifiers in the PMS, channel manager and OTA account. A naming mismatch may be harmless; a different bed configuration or missing accessibility feature can affect the guest's actual stay. For deeper technical checks, see our OTA room-type mapping guide.
2. Rate plans and booking policies
Review flexible and nonrefundable rates, meal inclusions, payment timing, fees, deposit rules, children policies and length-of-stay restrictions. The same physical room may be correctly sold under several different rate plans. The issue is whether the displayed price and conditions match the intended sellable product.
Booking.com's official technical documentation distinguishes a room category from a rate plan and defines a sellable product as their combination with conditions. The exact hotel-portal interface and connected system capabilities depend on the property, so do not assume API access.
3. Date-by-date inventory and availability
Choose representative near-term and future dates, including a weekday, weekend and known busy date. Verify how many rooms of each type are truly sellable across the hotel's inventory and channels. Do not add availability across multiple rate plans as though the same physical room were separate rooms.
Booking.com's availability documentation distinguishes room-type inventory from room/rate price and restriction settings. It also explains that a room type can remain closed even if a pricing update succeeds. Check whether blocked dates reflect a real sellout, a deliberate restriction or an unintended setting.
4. Genuine guest-facing booking tests
Open the public listing as a shopper without completing or paying for a reservation. Compare the product shown on search results, the room-selection page and the prepayment or checkout summary. This is where discrepancies in taxes, fees, cancellation policy or occupancy may become visible.
Record date, platform, currency, search occupancy, room name and checkout conditions. If one channel displays a lower price, first check equivalent room types and eligibility for mobile, loyalty or promotional discounts. Our rate parity comparison checklist explains why differences are not automatically contractual errors.
5. Ownership of each system setting
Identify who actually controls the field being corrected. Depending on the configuration, inventory and rates may originate in a PMS or channel manager, while images, guest-facing copy, or promotions may be managed through the OTA extranet. Expedia Group describes both Partner Central and connectivity providers as supported ways to manage property distribution.
For each problem, log the source system, the staff member authorized to approve an adjustment, the person responsible for implementation and the public retest result. Unapproved experiments in room mapping can create a booking problem while trying to correct a different one.
A simple owner risk scorecard
This table is a suggested internal assessment, not a certification issued by an OTA. Rank each observed issue using the hotel's actual operational risk.
| Audit category | Evidence | Priority example |
|---|---|---|
| Availability | Closed sellable rooms or live oversell | Urgent |
| Guest promise | Wrong bed, amenity or accessibility claim | High |
| Policy or price | Incorrect rate plan, restriction or fee | High |
| Listing quality | Outdated but nonmaterial copy or photo order | Routine |
Priority depends on guest impact, affected dates, booking volume and whether a correction risks disrupting existing reservations. A genuinely accessible room falsely presented as accessible or a current oversell risk should not be treated as routine editorial work.
Complete this 12-step OTA distribution checklist
- Define the property, authorized OTA accounts, review period and affected room categories.
- Confirm the hotel's physical rooms, approved amenities and current photos.
- Match PMS, channel-manager and OTA room-type/rate-plan identifiers.
- Review the cancellation, payment, tax and deposit conditions displayed to guests.
- Verify occupancy limits, accessible features and any extra-person restrictions.
- Compare inventory across near-term, weekday, weekend and peak-demand dates.
- Review stop-sell, length-of-stay, advance-purchase and check-in/out restrictions.
- Check the actual listing and pre-checkout journey without placing a paid booking.
- Investigate like-for-like price differences before altering any rates.
- Record an exception with source evidence, likely cause, priority and system owner.
- Obtain authorized approval, apply the correction in the correct system and preserve a change log.
- Retest affected offers and inventory; verify that the visible issue is actually resolved.

Turning the findings into a responsible correction plan
Zamaira Hospitality offers OTA distribution management and listing reviewunder a defined engagement, with owner approval before changes. A distribution audit may identify a separate rate management question or anOTA payment reconciliation discrepancy, but those involve different evidence and service scopes.
